Check-in can appear to be one of the simpler parts of renting a holiday home. Give the guest the keys, send them the Wi-Fi password and let them get on with their stay.
In practice, there is more to it than that. Guests may be unfamiliar with the area, the building or the property. They may not know where to park, how to enter the building or even how to operate the air conditioning.
Check-in is also our first opportunity to confirm who is staying, explain anything specific to the property and make sure the home is ready for the reservation.
At Alexanders, we provide in-person check-ins for arrivals between 9 a.m. and 5 p.m. Outside those hours, we arrange a self check-in. Both approaches can work well when the arrival has been properly organised and the guest has somebody available if they need help.
What We Do Before Guests Arrive
When we are meeting guests in person, the member of our team carrying out the check-in visits the property shortly before the agreed arrival time.
They perform a quick inspection to make sure the basic items are working and that essential supplies, such as toilet paper, are in place. This is not intended to replace the housekeeping or maintenance checks already carried out. It is a final opportunity to spot something that may have been missed before the guest arrives.
If there is a simple problem, it is usually much easier to deal with it before the guest reaches the property.
What Happens During an In-Person Check-In?
The handover varies depending on the property.
At a condominium or apartment, we will normally begin by showing the guests the shared facilities. This may include the swimming pool, gym and parking area, along with the correct entrances, building access and lifts.
Once inside the accommodation, we show them how to connect to the Wi-Fi, operate the air conditioning and use any appliances that require an explanation. We also tell them where to dispose of their rubbish and explain anything else that is particular to the property or development.
A guest who understands the home from the beginning is less likely to have avoidable problems later in the stay. It also reduces the likelihood of appliances or facilities being used incorrectly.
Meeting Guests Also Helps Protect the Property
An in-person check-in allows us to see who has arrived and how many people are staying.
If a reservation has been made for two guests but more people arrive, it can be addressed at the beginning of the stay. We also require the passport details of every guest because we must register them with Thai immigration.
This is one of the differences between simply providing access to a rental and actively managing the guest's stay. It gives us an opportunity to set expectations, confirm occupancy and make sure the guests understand the relevant house rules.
It does not prevent every possible problem, but it gives the stay a much clearer starting point.
How We Manage Self Check-Ins
Guests do not always arrive during the day. Flights can land late, journeys can be delayed and some guests prefer to travel at night.
For arrivals outside 9 a.m. to 5 p.m., we arrange a self check-in. The access method depends on the property. Some villas have digital locks, while keys for some condominiums can be collected from a designated mailbox.
We provide the access information the guest needs and remain available through our 24-hour guest support if they have difficulty entering the property.
Guests completing a self check-in must either send us a photograph of every guest's passport photo page through WhatsApp or arrange for us to meet them at the property the following day. This allows us to complete the required immigration registration and helps us confirm who is occupying the home.
We can also arrange an airport transfer on request. The cost varies according to the location of the property and is confirmed before the transfer is booked.
Guests can find more general information about arrivals, charges and support in our Guest FAQ.
Our Involvement Does Not End When the Keys Are Handed Over
Whether the arrival is handled in person or through a self check-in, the property still needs active management throughout the reservation.
Our team remains available for guest questions and maintenance problems. For longer stays, our cleaning staff visit according to the cleaning schedule for that property. As well as looking after the home, they can notice signs that the number of people staying may not match the reservation.
We also inspect the property after every checkout. This allows us to identify damage, missing items and maintenance work that should be completed before another guest arrives.
These checks are part of the distinction between a rental agent who generates a booking and a full-service property manager who remains responsible throughout the stay.
A Practical Approach to Guest Arrivals
We still value in-person check-ins. They provide a better introduction to the property, allow us to confirm who is staying and give guests an opportunity to ask questions face to face.
However, insisting on an in-person meeting regardless of the arrival time is not always practical. A properly arranged self check-in, supported by clear access information, passport verification and 24-hour assistance, can also provide a smooth arrival.
What matters to an owner is not simply whether a person or a lock gives the guest access. It is everything the property manager does before, during and after that handover.
